# Closing out the day

Complete stops from the office, check the money on the Close out tab, and deal with hourly visits that ran past the day.

Most stops get completed by the crew tapping **Finish** on their phone, and the invoice is created on the spot. This page covers the office side: completing stops yourself, checking the day's numbers, and wrapping up hourly work that spans days.

## Completing a stop from Dispatch

Each row's **Actions** button says **Complete** while the stop is open. Click it and the stop is completed straight away, the invoice is created, and a toast offers **Undo** for ten seconds. To complete several at once, tick their checkboxes and click **Complete** on the black toolbar.

If you track chemicals, completing from Dispatch also completes the visit's chemical application records. Any record the crew hasn't finished (including one for a chemical service added to the visit) is saved with the planned amounts, and a chemical visit with no record yet gets one from its program first. The record is filed under the crew's applicator, not under you. A message confirms it, for example *"2 chemical records completed with planned amounts; amend if actuals differed"*. If the crew used different amounts, amend the record afterwards. See [Application records](/readme/chemical-tracking.md#application-records).

The one case Dispatch can't fill in is a visit with no plan to copy from (no program, or a per-area plan on a property with no measured area). That visit stays open with the message *"could not default the chemical record: open the record and complete it first"*; the other stops you selected still complete.

After a stop is complete, its **⋯** menu has **Preview invoice** (opens the real invoice) and **Undo** (reverses the completion if you caught it in time). Completed rows drop out of the **Scheduled** tab's default view unless your Status filter includes **Completed**.

{% hint style="info" %}
If more than one crew was on the stop, the invoice waits until **every** crew has finished. See [Split visits and sending more than one crew](/readme/dispatch/split-and-shared-visits.md).
{% endhint %}

Other things you can do to a stop from its row menu or detail panel:

* **Add service** — add a one-off charge to this visit before it's billed. See [Adding one-off services](/readme/jobs-and-scheduling/adding-one-off-services-to-a-visit.md).
* **Products** — in the detail panel, add materials used on this visit (mulch, plants, parts) or check the quantities the crew entered, before the invoice goes out. See [Products](/readme/products.md#add-products-to-a-visit-from-the-office).
* **Discount stop** — take an amount off this visit.
* **Reschedule** — pick a new date. This moves *this visit only*; it doesn't change the job's schedule.
* **Mark handled** — closes the visit when the work was dealt with outside Shortcut. Nothing is invoiced and no customer is messaged. See [Closing out a stop that won't be rescheduled](/readme/dispatch/needs-attention.md#closing-out-a-stop-that-wont-be-rescheduled).
* **Cancel Job** — cancels the visit.

Mark handled and Cancel Job ask you to confirm because they can't be undone.

## The Close out tab

The **Close out** tab is a ready-made view for checking the money. It opens on **yesterday's completed** stops (use ◀ ▶ for other days), with these columns:

**Client** · **Service** · **Products** · **Amount** · **Product total** · **Total** · **Account balance**

Scan down **Total** for anything that looks wrong, and **Account balance** for customers whose past-due amount is shown in red. Open any row to fix a price, add a service, or apply a discount before the invoice goes out.

## Hourly jobs that run past the day

Some jobs are priced by the hour and can take several days: a big cleanup, an installation. Crews handle these a little differently on their phone:

* **End today's work** — the crew stops for the day without finishing the job. The visit stays open.
* **Request another workday** — the crew asks the office to schedule another day. The stop appears on **Needs attention** flagged **Additional workday** (*Crew asked for another day*) with a **Schedule** button.

### Scheduling the next workday

Click **Schedule** on the Needs attention row. In the **Schedule \[job name]** window, pick the **Date** and the **Crew** for the next workday and click **Schedule workday**. Existing workdays stay as they are; you're adding one.

If the request was a mistake, click **Reject request**. This only works once the job already has another day on the calendar, is finished, or is abandoned, so an hourly job can't just fall off the schedule.

### The Unclosed list

If an hourly visit's day ends and nobody tapped anything, it turns up in the side panel (the tray icon in the header) under **Unclosed**, marked **Started** or **Not started**. Click it to open **Close out \[job name]** and record what actually happened:

* **Actual finish date and time** — when the crew really stopped (if they had started).
* **Finished** — the job is done; record the hours and close the visit.
* **Still continues** — record today's hours and create one more visit on the **Successor date** you choose.
* **Abandoned** — the job stopped and isn't coming back.

Nothing changes until you click **Close out visit**. The customer is billed once, when the job is finished.

## Printing invoices

Open **⋯ → Print** in the header. Dispatch opens a page with one invoice per stop for whatever the board is showing (filters included), or only the rows you've selected, along with your browser's print dialog. Stops that can't be invoiced are left out, and the page says so at the top. Printing works on a single day, not on a range.

## The end-of-day checklist

1. **Close out** tab: totals look right, prices fixed where needed.
2. **Unclosed** in the side panel: zero.
3. **Needs attention** badge: zero, or at least every item has a plan.
4. Tomorrow's **Unassigned** lane: empty.
