# Prospect management (approve, remind, void)

Prospects are people you've sent a proposal (estimate) who haven't accepted it yet. You'll find them under **Customers → Estimate pending**. [Open Prospects →](https://shortcutco.com/prospects)

## When to use this

* You sent a proposal and want to track acceptance
* They verbally approved and you want to record it
* You want to follow up or stop pursuing the prospect

## What you can do

Click a prospect in **Customers → Estimate pending** to open their profile. Everything you need is on it:

* **Approve** — approve the estimate on their behalf. It's at the end of the top bar when they have one open estimate.
* **Void** — withdraw the estimate. Also in the top bar.
* **Send reminder** — re-send an estimate you've already sent, by email (and text, where texting is set up). It's at the top of the **⋯** menu.
* **⋯ → Edit prospect details** — change their details.
* **Create estimate** — start another estimate.

With more than one open estimate, the top bar shows **Review estimates** instead. It opens the **Estimates** tab, where each open estimate has its own **Void** and **Approve** buttons. Its **⋯** has **Send reminder**, **Approve…**, and **Void estimate…**.

The profile also shows what they asked for (**Request**), each estimate's status and expiry date, and which lines are optional or were removed by the customer, plus follow-up tasks, comments, and the property map. Clicking an estimate opens it in preview: you see what the customer sees, but **Approve** and **Decline** are switched off, and your visit doesn't count as the customer opening it.

**From the list.** Each row in **Customers → Estimate pending** has a button for the next step: **Approve** for a draft estimate, **Remind** for one you've sent. The row's **⋯** also has **Approve**, **Remind**, and **Void**.

## Common actions

{% step %}

### Approve on behalf (verbal yes)

Use this if they approve while you're talking to them on the phone, by text, or by email.

* Open the prospect and click **Approve** at the top, or click **Approve** on their row in **Customers → Estimate pending**
* Shortcut asks **Approve this estimate for \[name]?** and says what happens: they become a customer, their jobs are created, and your new-customer automations run. A draft adds "This estimate was never sent."
* Click **Approve estimate** (**Approve** on the list)

<figure><img src="https://2299783971-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FOhi7KtJ4vY1pDKwWu5SV%2Fuploads%2Fgit-blob-ce4d83a8ea55a9b6d0b4c320fec7669d57c9979e%2Fprospect-approve-dialog.png?alt=media" alt="The Approve this estimate window over a prospect&#x27;s profile: the estimate&#x27;s service and price, what approving does, This estimate was never sent, and Cancel and Approve estimate"><figcaption><p>Shortcut says what approving will do before it does it.</p></figcaption></figure>

{% hint style="warning" %}
Only approve once the customer has actually said yes. Normally they approve from the link in their estimate. Approving for them is for a yes by phone or in person.
{% endhint %}
{% endstep %}

{% step %}

### Send a reminder

* On their profile, click **⋯** at the top and choose **Send reminder**, or
* On the list, click **Remind** on their row

The reminder goes out right away, without asking you first. A message then tells you how it went out (email, text, or both).
{% endstep %}

{% step %}

### Void a proposal

* On their profile, click **Void** at the top (or **Void** on the estimate's row in the **Estimates** tab), or
* On the list, click **⋯** on their row and choose **Void**

Shortcut asks you to confirm first. Once voided, the customer can no longer approve it from their link, and it stays in their history as **Voided**.
{% endstep %}
{% endstepper %}

## Expected result

* Approving makes them a customer.
* Reminding re-sends the proposal.
* Voiding withdraws the proposal; it stays in their history as **Voided**.
